Why your books are not an April errand
Most small businesses discover their bookkeeping in March, when it is time to file. By then it is too late for two things: to deduct well and to decide well. Expenses recorded without documentation are expenses that will not be deducted, and the year’s decisions — hiring, buying equipment, raising prices — were already made blind.
Keeping the books current changes that conversation. When you close each month, by January you already know what you will owe and there is time to do something about it. When the bank asks for a financial statement for a loan or a line of credit, you have it in two days instead of three weeks. And when the IRS asks, there is documentation.
We work with QuickBooks and with whatever platform you already use. If you come in with months or years unrecorded, we start with the catch-up: we rebuild the period from your bank statements and receipts, and from there we continue with the monthly close.
Monthly close or catch-up
They are two different services. Most clients start with the second and continue with the first.
| Point of comparison | Monthly close | Catch-up |
|---|---|---|
| Who it is for | Operating businesses that want to close each month. | Anyone with months or years unrecorded. |
| What you receive | A profit and loss statement and balance sheet each month. | The back period rebuilt and reconciled. |
| How it is billed | A monthly fee based on volume. | By period, one time. |
| How long it takes | Closed within the following month. | Depends on the months accumulated and the disorder. |
| What it enables | Deciding with current numbers and filing without rushing. | Filing pending years and stopping the pile-up. |
If you are going to seek financing or sell the company, tell us early: the bank and the buyer will ask for several comparable periods, not a single month.

Frequently asked questions about bookkeeping
What is the difference between bookkeeping and accounting?+–
Bookkeeping is the orderly record of the day to day: income, expenses, reconciliations. Accounting uses that record to interpret, file, and plan. Without bookkeeping there is no accounting: you cannot analyze what was never written down.
I have years without any bookkeeping. Can it be recovered?+–
Yes. We start with a catch-up: we rebuild the period from your bank statements and whatever documentation you have, and reconcile it. From there we continue with the normal monthly close.
Do I need QuickBooks?+–
It is not required, but it helps. We work with QuickBooks and with other platforms, and if you use none we set up whichever fits your size. If you sign up for Business in a Box, the license is included.
How much does monthly bookkeeping cost?+–
It depends on transaction volume, how many accounts have to be reconciled, and whether you handle payroll or inventory. We review your bank statements and give you a fixed price, not a range.
Is it useful for getting a loan?+–
It is exactly what the bank will ask for. A profit and loss statement and a balance sheet prepared from current books, across several comparable periods, carry far more weight than a summary put together in a hurry.
Do you also prepare my taxes?+–
Yes, and that is the advantage: whoever files works from the same books we keep all year. Nothing to rebuild and no chasing receipts in March.
